Cancellation Policy

2.1 General Policy

All cancellation requests must be submitted in writing via email or through officially recognized communication channels of TripTo. Verbal cancellations, including those made via phone or messaging platforms, shall not be considered valid unless formally acknowledged in writing by TripTo.

A cancellation request shall be deemed effective only upon receipt and written confirmation from TripTo. The date and time of acknowledgment shall be treated as the official cancellation date for calculating applicable charges.

Cancellation charges are determined based on, but not limited to:

  • Time remaining prior to departure or service commencement
  • Nature and type of booking (flight, hotel, visa, cruise, activities, packages)
  • Applicable third-party supplier policies
  • Seasonal demand, promotional offers, and peak-period restrictions

TripTo acts solely as an intermediary between the client and service providers. Therefore, all cancellations are subject to both TripTo’s policies and individual supplier terms.

In addition, the applicable cancellation timelines, percentage charges, and supplier-specific conditions may vary for each booking. These details will be communicated at the time of booking confirmation and shall be binding. In case of any conflict, booking-specific terms shall take precedence over this general policy.

2.2 Cancellation Charges & Deductions

Travel arrangements often involve advance payments and non-refundable commitments. Accordingly, cancellation charges may include:

  • Airline penalties (fare rules, taxes, surcharges)
  • Hotel retention charges (partial or full stay)
  • Charges for tours, transfers, cruises, and activities
  • Visa and consulate fees (non-refundable once initiated)
  • Travel insurance premiums (if applicable)
  • TripTo service and administrative charges
  • Payment gateway and bank transaction charges

In certain cases—such as peak seasons, festive periods, group departures, early-bird offers, or promotional deals—cancellations may result in 100% forfeiture of the total booking amount.

Additional conditions:

  • Partial cancellations may lead to re-pricing of the remaining booking
  • Last-minute amendments may be treated as cancellations and re-bookings

It is expressly acknowledged that cancellation slabs (based on number of days prior to departure and applicable charges) vary across bookings. The exact structure will be shared at the time of booking and shall form an integral part of the agreement.


2.3 Refund Process

Refunds, if applicable, will only be processed after TripTo receives the corresponding amount from the respective suppliers.

The standard processing timeline is 15 to 45 working days, which may extend depending on supplier timelines, airline refund cycles, and banking procedures.

TripTo shall not be held liable for delays caused by:

  • Airlines, hotels, or third-party providers
  • Payment gateways or financial institutions
  • International banking systems or currency regulations

Refund conditions:

  • Processed to the original mode of payment wherever feasible
  • Subject to deduction of all applicable charges and fees

TripTo may, at its discretion, offer credit notes, travel vouchers, or rescheduling options instead of refunds, depending on supplier policies.


2.4 No-Show, Late Arrival & Unused Services

Failure to utilize booked services (no-show), late arrival, or voluntary discontinuation of travel will be treated as a cancellation without prior notice.

In such cases:

  • No refunds will be provided for unused services
  • Suppliers may apply 100% retention charges
  • Any additional expenses will be borne by the client

All unused services are strictly non-refundable and non-transferable.


2.5 Cancellation by TripTo

TripTo reserves the right to cancel any booking due to:

  • Operational or logistical constraints
  • Insufficient participation (for group tours)
  • Supplier changes or service unavailability
  • Safety concerns, government advisories, or travel restrictions
  • Force majeure events (natural disasters, pandemics, political unrest, etc.)

In such situations:

  • Alternative arrangements may be offered
  • Refunds, if applicable, will be limited strictly to supplier recoveries
  • TripTo shall not be liable for indirect or consequential losses (visa fees, insurance, personal expenses, etc.)

2.6 Force Majeure

In the event of circumstances beyond the control of TripTo, including but not limited to natural calamities, pandemics, geopolitical events, government restrictions, airline disruptions, or any other force majeure situations, all cancellations, modifications, and refunds shall be governed strictly by the policies of the respective suppliers. TripTo shall not be held liable for any disruptions, delays, losses, or additional expenses arising from such events, nor for any refunds beyond the amount recoverable from third-party providers.

Clients are strongly advised to obtain comprehensive travel insurance to safeguard against such unforeseen circumstances.


2.7 Non-Refundable Bookings

Certain bookings are strictly non-refundable, including:

  • Promotional or discounted packages
  • Last-minute deals
  • Fixed-departure group tours
  • Peak-season or special event bookings

For such bookings:

  • No cancellations or amendments will be permitted
  • Full payment will be forfeited

2.8 Client Acknowledgment

By confirming a booking with TripTo, the client acknowledges and agrees that:

  • They have read, understood, and accepted this policy in full
  • Cancellation timelines, charges, and refund eligibility vary per booking and are communicated at confirmation
  • Booking-specific terms override general policy where applicable
  • They understand the financial implications of cancellation, including partial or full loss of payment
  • Refunds are subject strictly to supplier terms and recoveries
